Job Summary: Under the direction of the Account Executive, the Program Manager is responsible for set-up and tear-down of all events in his/her designated market. As the main point of contact for the venue and GMR Client Services Team, the Program Manager will be the go-to person onsite while leading and managing the temporary staff. The Program Manager will typically have a set schedule. Consistent communication from the field is key in the overall success of the program due to all decision-making being directed by his/her supervisor. GMR Essential Duties and Responsibilities: • Act as main contact on-site between events, retailers, the public, and the press. • Confirm promotion details that have already been established by client services team including, but not limited to: exact location of promotion, host dates, host times, event set-up and tear-down times, price specials, prizes or promotions for the event, and security arrangements. • Secure area and confirm physical boundaries of the event site. • Direct and perform the cleaning and maintaining of the event site during and after the event. • Ensure each event is operated with the safety of staff and the public in mind. • Manage event activities, contests, and giveaways and participate when applicable. • Event Reporting including but not limited to, recaps, tracking attendance, and photo/videos. • Handle all event problems quickly and professionally. • Collect and forward all field and temporary employee’s timesheets to GMR for payment. • Train temporary onsite personnel. • File bi-weekly expense reports. • Other duties as assigned GMR Required Knowledge, Skills, & Abilities: • Ability to effectively communicate with multiple clients, vendors, and members of the press • Utilize creative problem-solving skills. • Knowledge of major market areas • Working knowledge of computers-Microsoft Word & Excel • Ability to travel extensively • Ability to perform multiple tasks under adverse weather conditions • Excellent presentation/public speaking skills - ability to speak on a microphone • Conduct contests and activities. Program Essential Duties & Responsibilities: • Manage and train a team of staff • Complete end of day recap report (consumer comments, take photos, inventory counts, etc.) • Manage the set up and teardown of the footprint • Coordinating delivery, shipment, and transport of footprint assets & inventory • Monitor and manage the cleanliness of the footprint • Give staff breaks • Manage the setup, teardown, load in, and load out of the event footprint • Other duties as assigned Program Required Knowledge, Skills, & Abilities: • Previous management experience • Technology savvy • Problem solver who is willing to jump in and work as a BA and jump in to help with additional tasks as needed • Someone who has knowledge of the brand is plus Program Manager Job Description Executional Excellence: • Knowledgeable of all aspects of the program, its processes, and all current and upcoming procedures • Ensure that the program is running in accordance with client and program requirements. • Implement the roll-out of new program initiatives. • Ability to share knowledge and drive the team to execute flawlessly • Actively develop, recap, and share “Best Practices” with the entire program. • Take overall ownership of all documents that are produced to ensure accuracy, thoroughness, and timely delivery. • Ability to delegate appropriate tasks to direct reports • Follow through with team to ensure that deadlines and timelines are met. • Maintain consistent, clear, and accurate records of program activity for GMR HQ. • Take overall ownership of team inventory to guarantee necessary orders, returns, and reconciliations • Ensure executed events uphold the highest standards of compliance and safety for staff and the public. Performance Management: • Manage on-site performance and lead staff in a manner that will motivate, encourage, and deliver team results. • Train on-site personnel. • Manage on-site personnel and determine break times for staff. • Provide coaching and leadership to ensure team members have the tools, direction, and motivation to succeed. • Monitor staff performance to ensure that team expectations and goals are being met and/or exceeded. • Understand when to use different levels of motivation (i.e. constructive criticism, positive reinforcement) to motivate. • Handle all employee issues or situations immediately and professionally and communicate them to GMR HR. Problem Solving: • Gather and analyze information, identify goals, explore solutions, implement action plans, and evaluate results. • Quickly identify and communicate problems to team members and upper management. • Execute sound solutions. • Ask questions to develop positive solutions. • Understand the cause and effect of potential problems and how to plan accordingly to overcome roadblocks. • Create an environment for open two-way communication encouraging feedback. • Ability to make decisions and provide guidance based on extensive previous experience Time Management/Priority Setting: • Allocate and prioritize time efficiently and to the most important issues. • Proficient in the use of timelines and other tools to meet program goals directed by upper management • Able to delegate and implement process and timelines to drive staff to complete required goals • Able to oversee team’s timelines to ensure that tasks are completed efficiently • Identify and act upon opportunities to conduct their business more effectively and efficiently • Ability to adjust and streamline priorities within multiple tasks to ensure goals and objectives are still met • Manage the timely execution of a program/project to include ownership and delivery of final documents or results. • Remain punctual and effectively manage time. Professional Maturity: • Represent GMR Marketing, the program, and the brand in a professional manner at all times. • Ability to professionally communicate with teammates, GMR, Client staff, event staff, and consumers. • Maintain a positive and motivated attitude in all situations. • Adhere to and understand all rules, regulations, and procedures of the program. • Remain open to feedback, guidance, and direction as it pertains to job performance and personal growth. • Present a clean and professional appearance at all times. GMR Program Manager Requirements: • Must be 21 years of age or older • Must have reliable transportation to get to and from events • Must wear required uniform • Due to driving requirements, must submit to and pass an MVR (motor vehicle record) check and drug screen upon hire. Program Manager Job Description Computer Skills: • Working knowledge of computers with average to above average skills in Windows, Excel, Word and Email • Ability to learn new computer programs quickly and efficiently Education, Training, & Experience: • Degree in related field preferred • Previous program management experience required • 2-3 years of experience in the promotional industry Language Ability: • Written and conversational knowledge of the English language and grammar • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
